Cafe management software compared (2026)

Everything markets itself as “cafe software”, but each category was built for a different problem. Here is how to tell them apart before you pay for capability you will not use.

Short answer: choose by your service model, not by the longest feature list

Cafe management software in Vietnam falls into three groups: retail-first POS with an F&B package added, F&B-specialist POS, and unified operations platforms that already include stock, accounting and HR. A single-site shop mostly needs order speed and recipe portioning; a multi-branch operator needs consolidated reporting and central menus. OneXEOS sits in the third group: the POS shares a platform with stock, accounting and payroll, so nothing extra has to be bolted on as the business grows.

  • Small, single site: prioritise order speed, topping portioning and a low fixed cost.
  • Two branches or more: consolidated reporting and central menu and pricing are non-negotiable.
  • Heavy on delivery apps: ask precisely how orders sync, so nothing is retyped.
  • E-invoicing on the horizon: check it can issue straight from the cash register.

Five questions to ask before signing

What does year two cost?

Year one is usually discounted. Ask directly about renewal, extra branches, extra users and e-invoicing to get the real number.

Can I get my data out?

Ask for an export of menu, customers and sales history. If it cannot be exported, you are locked in.

Does it work offline?

A busy service with dropped Wi-Fi still has to take orders and print tickets, then sync when the connection returns.

How deep is delivery-app sync?

“See the order” and “order lands in the system and prints” are completely different things for how many staff you need.

What happens at branch two?

Ask up front how shared menus, per-branch pricing and consolidated reporting work — switching mid-expansion is the most expensive time to switch.

Frequently asked questions

Is free cafe management software actually usable?

Yes, but read the limits. Free tiers usually cap invoices, users or branches and charge once you pass them. OneXEOS is free for life for shops whose monthly revenue sits within the supported threshold, with no feature gating inside it — ask for the specific threshold before you roll out.

What matters most for a bubble-tea shop with many toppings?

Two things: how fast staff can pick options (size, sugar, ice, toppings) on the order screen, and whether you can define a recipe per option so stock deducts accurately. Without the second, month-end still will not tell you where the shrinkage went.

Do I need dedicated POS hardware?

Not usually. Most current software runs in a browser or a mobile app on the laptops, tablets and phones you already own. The only common required purchase is a receipt or label printer.

Will switching from another system lose my data?

Ask the new vendor about their migration tool and exactly which data it covers — menu, recipes, customers, sales history. Migrate after closing and keep the old system available for a few days to reconcile.
